The challenge

The work was done. The admin couldn’t keep up.

A crew of six, dozens of suppliers, multiple projects running at once. Costs arrived as PDFs in folders and amounts in a spreadsheet — retyped, sometimes forgotten, rarely found again.

Splitting a shared delivery across two jobs meant doing the maths by hand. IGIC and margin per project remained guesswork until the accountant sorted it out months later. And multilingual clients meant retranslating every quote.

The most painful leak was invisible: costs that never made it onto a client invoice — forgotten, misfiled, “I’ll do it later”. Pure margin evaporating.
